Billing Administrator

The Billing Administrator is responsible for the coordination of all billing activities for the Company. This includes scanning, auditing and mailing invoices. The Billing Administrator will ensure that work orders are billed according to contract terms and customer requirements.

Key Responsibilities

  • Update customer billing information.

  • Prepare, calculate, create and submit billing/credit files.

  • When confirmed closings are received, each customer file must be flagged on master to register for OBA number.

  • Create and submit registered customer files for OBA numbers.

  • Resolve all billing issues whether it be by customer call in or Billing Department at Enbridge (they periodically email non gas account merge requests and Disputes).

  • Reconcile monthly invoice reports for Accounting.

  • Prepare all billing calculations for customer service to create an invoice for reconciliation (rental arrears paid by credit card by customer to the Company with the rental commencing from that point on the Enbridge bill).

  • Create billing report for customers who are due for rental increase and submit a rental update request to the Billing Agent/Department with the increased amount commencing on the anniversary date (original close date).

  • Reconcile accounts once payment is received to ensure no balance owing for the next quarter.

  • Reconcile sales orders to operation systems.

  • Create rental agreements and send to customers.

  • Manage technician contracts and insurance forms.

  • Any and all other duties as assigned to meet Company objectives.

Skills and Abilities

  • Minimum 3 - 5 years’ experience in logistical management, customer service and procurement.

  • Familiar with ACT and Navision Software.

  • Computer literacy with Microsoft Office Suite.

  • Professional, responsive, and positive work attitude is essential.

  • Meticulous records maintenance skills with the ability to maintain filing systems and basic databases.

  • Superior telephone manners.

  • High degree of resourcefulness, flexibility, and adaptability.

  • Excellent teamwork and team building skills.

  • Previous experience in handling confidential or sensitive information.

  • Strong organizational, time management and multitasking skills.

  • High level of sound and independent judgment, reasoning, and discretion.

  • Able to effectively communicate both verbally and in writing.
